1. Who we are and scope

Sunbelt Drayage, LLC ("Sunbelt Drayage," "we," "us," or "our") is a Houston, Texas-based container drayage carrier. This policy covers our public website, our quote request and driver application forms, phone calls, SMS, and email exchanged with our dispatch and recruiting teams, and our customer portal.

2. What we collect

• Information you submit: name, company, email, phone number, lane and shipment details, and, for driver applicants, CDL details and TWIC status.
• Website chat: messages you type to Iris, the assistant on this website, and its replies (see "Website assistant" below).
• Technical data: IP address, browser and device user agent, pages visited, referring page, and UTM campaign parameters.
• Communications: calls to our dispatch or recruiting lines may be recorded and transcribed; SMS messages and emails exchanged with us are retained.
• Location data: for drivers and applicants who become drivers, GPS location data from their assigned vehicle.

3. How we use it

We use the information we collect to respond to quote requests and driver applications, dispatch and track loads, communicate with customers and drivers, operate and secure our website, and comply with applicable law and Department of Transportation record-keeping requirements.

Operational AI and training

Sunbelt Drayage uses internal AI systems to help dispatch loads, classify inbound communications, and draft responses. We may use de-identified operational records and communications to improve and train these internal systems. This use is internal to Sunbelt Drayage and this information is not sold to third parties. Individuals may opt out of having their information used for this internal training purpose by emailing privacy@sunbeltdrayage.com.

Website assistant (Iris)

Iris is an AI assistant that answers from the information published on this website. It cannot see shipments, accounts or driver records. Replies are generated by our AI service provider (Anthropic) from your message. We save chat transcripts for up to 90 days to review answer quality and prevent abuse: before saving, we remove phone numbers, email addresses, Social Security numbers and payment card numbers we can detect, and we store your IP address only in a one-way hashed form. Website chats are not used to train AI models. Please don't share personal details such as license numbers or dates of birth in the chat — quote requests and job applications have their own forms. To ask us to delete a chat, email privacy@sunbeltdrayage.com.

Customer portal assistant (Vera)

Vera is an AI assistant inside our customer portal, for signed-in customers. To answer, your chat messages, any file you attach and the portal information Vera looks up for your company's account (for example loads, containers, documents and invoices) are processed by AI models: AI service providers we use that may not train their models on this content or keep it longer than needed to answer (currently Anthropic, and providers reached through OpenRouter with data collection turned off), and AI models that run on computers Sunbelt controls. Vera may flag conversations that look like fraud or misuse for review. Sunbelt keeps your chats with your company's communications, like email; Sunbelt staff and Sunbelt's internal AI assistants may read them to serve your account, detect fraud or misuse, and improve our service. 4. Sharing

We share information with service providers who support our operations, such as website hosting, analytics, and telephony providers, and, for driver applicants who consent, background and motor vehicle record (MVR) check providers. We share information with port terminals and customers as necessary to perform a move, and we disclose information when required by law or legal process. We do not sell personal data to third parties.

5. SMS terms

By providing a phone number and submitting a form on this website, you consent to receive transactional text messages from Sunbelt Drayage related to your quote or application. Message frequency varies. Reply STOP at any time to opt out, or HELP for help. Message and data rates may apply.

6. Cookies and analytics

This website uses cookies and similar technologies, including Google Analytics and Vercel Analytics, and may use advertising pixels, to understand site usage and improve our services. You can control cookies through your browser settings and opt out of Google Analytics using Google's browser add-on.

7. Retention

We retain information for as long as needed to provide our services, comply with legal, tax, and Department of Transportation record-keeping obligations, and resolve disputes, after which it is deleted or de-identified.

8. Security

We use reasonable administrative, technical, and physical safeguards designed to protect the information we collect. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your choices and rights

Texas residents may have rights under the Texas Data Privacy and Security Act (TDPSA), where applicable, including rights to access, correct, or delete their personal data. To make a request, email privacy@sunbeltdrayage.com.

10. Children

This website and our services are not directed to individuals under the age of 16, and we do not knowingly collect personal information from children.

11. Changes

We may update this Privacy Policy from time to time; the effective date above reflects the most recent revision.
